Regional Events Calendar

The Arts & Cultural Council for Greater Rochester’s Regional Events Calendar is the most comprehensive source for arts and cultural events and activities in the region.

Events listed in the Regional Event Calendar are:
  Free for Arts & Cultural Council members ($10 per listing for the general public)
  Eligible to be read on-air at WXXI
  Included in Arts E-News (bi-weekly electronic newsletter - reaching 3,800 readers)
  Printed in Metropolitan (available to members and as space permits)

Terms of Agreement

 Calendar users are encouraged to add the Regional Events button to their website, including a link to the Regional Events Calendar (Find out how).
 Events must be open to the general public.
 If an event is not free of charge, please indicate the cost.
  Events must occur within the greater Rochester 10-county region (Cayuga, Genesee, Livingston, Monroe, Ontario, Orleans, Seneca, Wayne, Wyoming, and Yates).
  Event descriptions should be limited to 50 words or less (keep titles as short as possible).
  Images may not be included in your event listing.
  Event details must be updated and/or deleted by the calendar user.
  Users with calendar accounts may not share user names and passwords. Doing so constitutes a violation of the Arts & Cultural Council’s licensing agreement.
  Events posted to the Regional Events Calendar will be considered for publication in the calendar sections of Arts E-News and Metropolitan (as space permits and available only to members).
  The Arts & Cultural Council for Greater Rochester reserves the right to edit and delete event information at its discretion.

How to Submit an Event

There are two ways in which a user can submit an event to the Regional Events Calendar – as a “Guest” or as a “ Calendar Accountholder.”

Guests
 
Most individuals and organizations use the calendar as guests.
  No password is required to enter events as a guest.

Calendar Accountholders
 
Available to Arts & Cultural Council members who submit more than 50 events per year.
  Account holders:
  Are assigned a password
  Have access to their own personal calendar page and heading
  Can link directly to their website from their calendar heading
  Are included in the organization drop-down calendar list
  Have the ability to directly edit their events
  Please note: A limited number of calendar accounts is available.

Enter an Event - Guest
  From www.artsrochester.org click on the Regional Events Calendar.
  From the calendar home page, click on Looking for something to do?
  Select More Eventsfrom the Calendar dropdown menu, and click Go.
  Click on the yellow ADD EVENT button which will appear below the Calendar and Category menus.
  Enter data in the Submit Event form (see Terms of Agreement for guidelines).
  If you are a member or grant recipient, put "member" or "grant recipient" in the Heard of Calendar Where? box.
  Then click Submit Event.
  The Arts & Cultural Council will post the event upon approval.
  Return to the Regional Events Calendar.

Enter an Event - Calendar Accountholder
  This method is to be used by members with passwords only.
  Images may not be included with your event listing.
  Events must be updated as they occur and/or deleted if cancelled.
  From www.artsrochester.org click on the Regional Events Calendar.
  From the calendar home page, click on Looking for something to do?
  Select your organizations name from the Calendar dropdown menu, and click Go.
  When you see your organization's name across the screen, THEN click on Login, and enter your user name and password .
  Click on the yellow ADD EVENT button.
  Enter data in the Submit Event form (see Terms of Agreement for guidelines).
  For additional calendar options and features, visit WebEvent Guidelines.
  Then click Submit Event .
  The event is immediately posted online. If you need to edit or delete an event, you may do so by clicking on the title of the event and resubmitting the event.

How to Get a Calendar User Account and Password

User accounts are available to Arts & Cultural Council member organizations who post more than 50 events per year. This benefit includes the organization's own calendar identity, direct online editing access, and a link to the organization's website.

  Confirm that your Arts & Cultural Council for Greater Rochester membership is   current.
  Request a calendar user account (email Leah Buttery, Administrative Assistant).
      Include:
         · Organization Name
         · Contact Name
         · Contact information
         · Desired password
         · Approximate number of public events your organization has per year

  The Arts & Cultural Council will confirm your user name and password, as well as submission instructions via email.

IMPORTANT: There are a limited number of user accounts. The Arts & Cultural Council will accommodate as many requests as possible. While we process your request, it is recommended that organizations without a confirmed user account continue to enter events as a guest.
